General tab
Use this tab to enter information about who will hear this greeting and where the server will send this greeting.
Comments |
Optional Enter details about the greeting. If this is a standard external greeting that plays during regular business hours, a logical comment is Standard daytime external greeting. |
Message icon |
Optional Click the box and choose a custom icon for messages that used this greeting. |
Numbers dialed |
This only applies if you have multiple phone numbers forwarding to your FirstClass Unified Messaging Mailbox and you want anyone calling a particular number to receive a customized message. Enter the phone number(s), including area code, that will receive the custom greeting, separated by commas. For internal extension numbers, fewer numbers may be required. For example, if your work phone, your cell phone, and your home phone are all linked to your Mailbox as valid phone numbers, and you have a custom message you want played for calls to your home number, enter your home number in this
field. |
Caller numbers |
Does not appear if the greeting type is "Unknown caller". This refers to specific incoming phone numbers. Enter the phone number(s), including area code, that will receive the custom greeting, separated by commas. For example, if you want a client to receive a personal greeting, enter the phone number and record a personalized greeting that plays for that client only. You can use * as a wildcard in this field. This means, if you want all callers from a particular area code (905, for instance) to receive this greeting, enter 905* in this field. All callers from the 905 area code will hear this greeting. Do not enter 1 before a long distance number. If it is an international number, include the country code before the number. |
Require unknown caller to press a key |
Only appears if the greeting type is "Unknown caller". If selected, callers with a blocked or unknown number will be required to press a key or initiate sending of a fax within 3 seconds in order to leave a message. If no key is pressed, and "Initiate fax CNG tones" is selected on the Faxes tab, fax CNG tones will play. If no key is pressed and the message is not a fax, the call will disconnect. Note There is no system prompt for this feature. Your greeting must advise callers to press a key, send a fax, or the call will disconnect. |
Scheduling tab
Use this tab to schedule the greeting to play at specified times only.
Starts |
Choose the start date and time for this greeting. |
Ends |
Choose the end date and time for this greeting. |
Duration |
Choose the duration you want the greeting to play. Depending on your schedule, you may set only "Starts at" and "Duration" and the "Ends at" date and time will fill in automatically. |
Repeat interval |
If you want this greeting schedule to repeat at regular intervals, choose an interval from the dropdown list. |
Repeat until |
If you chose a repeat interval, you may wish to choose an end date from the dropdown calendar. |
Color |
Select a background color for this greeting in calendar view. |
Time zone |
Choose the time zone associated with this schedule. |

Use this tab to give callers more or fewer call answering options.

Record message |
If selected, the greeting will play and the caller can leave a message. This is the default setting. |

Mark messages urgent |
This gives messages a priority of urgent. This is useful if you set your paging preferences to only forward urgent messages. |

Transfer caller to the zero revert number |
Select if you want all calls to be transferred to the default system zero-out transfer number (usually Reception). Callers will not have the option of leaving a voice message. If you select this option and record a greeting for it, you may wish to inform callers they will be transferred after the greeting. If you enter a tranfer number for key 0, this will override your system or OU zero-out option (usually reception). You do not have to have a voice greeting recorded to use this feature. |

Transfer caller to this number: |
Select if you want all callers who hear this greeting to be automatically transferred after hearing the greeting. Callers will not have the option of leaving a message for this greeting. In the space provided, enter an extension or a 10-digit number. You do not have to have a voice greeting recorded to use this feature. |

Disconnect |
Callers who receive this greeting will have no messaging options. The greeting will play and the caller will be disconnected. If you select this option, and record a greeting for it, you may wish to inform callers they will be disconnected after the greeting. You do not have to have a voice greeting recorded to use this feature. |
Caller-initiated transfer |

Allow caller to transfer |
Allow callers to transfer is on by default. This allows callers to use the transfer options you set in your voice preferences. Choose a key and enter an extension or a 10-digit number to transfer. Note The administrator may have enabled dialing restrictions on your system. Ensure you are able to dial this number from your phone system. Clearing the
checkbox will prevent callers from using any transfer options you set on your personal Preferences form, and/or the administrator set as the FirstClass Unified Communications zero-out system or OU transfer option on the Voice Services Administration form. |

Override transfer menu preferences |
Allows you to override the transfer preferences you set on your personal Preferences form for this greeting only. Choose a key and enter an extension or a 10-digit number to transfer. Note The administrator may have enabled dialing restrictions on your system. Ensure you are able to dial this number from your phone system. If callers provide feedback that they are being cut off when transferring, the system may be disconnecting too quickly and the number is not being properly processed. You can follow the number with a comma (,) for a one-second pause, or a semi-colon (;) for a five-second pause. |

Faxes tab
Use this tab to override fax preferences set on the Voice tab of the Preferences form.
The visible fields are dependent on you primary fax handling:

Allows fax preferences to be set on this form to override the fax handling preferences you set in your voice preferences. |
Initiate fax CNG tones |
Select if this greeting is set up specifically for faxes only. If you select this, do not record a voice greeting for this greeting. |
The following fax preferences are only available if Override user preferences was chosen above. |
